Privacy Notice

Cogra Marketing Inc. ("Cogra Marketing", "we", "us") is a marketing consultancy based in Ontario, Canada. This notice explains what personal information we collect through cogra.ca, how we use it, and the choices you have. We handle personal information in line with Canada's Personal Information Protection and Electronic Documents Act (PIPEDA).
What we collect
We only collect personal information you choose to give us, when you fill in our contact form, email us or use the chat assistant on this site. This may include:
- your name and email address
- your company and role
- anything you tell us in your message or type into the chat assistant
We do not use analytics or advertising cookies on this site. The chat assistant may store information in your browser so that your conversation works as expected. We and our service providers may also process technical information, such as IP addresses, when you visit the site.
The chat assistant
The chat assistant on this site is an automated AI tool, not a live person. It is provided by Chatbase and answers questions about Cogra Marketing. Please don't share sensitive personal information in the chat. Chat conversations are processed by Chatbase and the AI services it uses to generate responses. We may review conversations to maintain and improve the assistant and to follow up on inquiries. For more information about how Chatbase handles information, see the Chatbase Privacy Policy.
How we use it
We use your information to reply to your inquiry and, if we go on to work together, to manage that relationship. We do not sell, rent or trade your personal information, and we do not add you to a mailing list without your consent.
Where it is stored
Our contact form is provided by Microsoft Forms, and form responses and emails are stored in our Microsoft 365 account. Chat conversations are processed and stored by Chatbase and the AI services it uses. This site is hosted by Cloudflare, which may process technical information such as IP addresses to deliver and secure the site, and fonts are loaded from Google Fonts. These providers may process or store information outside Canada, including in the United States. Information processed in another country may be subject to the laws of that country.
How long we keep it
We retain inquiry information for as long as reasonably necessary to respond to you and, if we work together, to manage our business relationship and meet applicable legal or accounting requirements. When information is no longer needed, we delete it or securely dispose of it, subject to applicable retention requirements and the practices of our service providers.
How we protect it
We limit access to personal information to authorized people and service providers who need it for the purposes described in this notice. We use appropriate safeguards, including secure sign-in for our accounts, to protect the information we handle.
Your choices
You can request access to the personal information we hold about you, ask us to correct it, or request its deletion, subject to applicable legal and contractual obligations. You can also withdraw your consent to our collection, use or disclosure of your personal information, subject to legal or contractual restrictions and reasonable notice. To make a request, email privacy@cogra.ca. We will respond to access requests within 30 days, unless an extension is permitted by law, and will respond to other privacy inquiries as promptly as reasonably possible.
Changes to this notice
We may update this notice from time to time. The effective date at the top shows when it last changed.
